Job Description

Accounting and Reconciliation

  • Prepare, review, reconcile, and update client, vendor, and internal statements.
  • Maintain Excel trackers for expenses, payments, assets, and other financial records.
  • Review invoices, ledgers, and payment records to identify errors, discrepancies, or duplicate payments.
  • Organise bills, credit card statements, receipts, and supporting documents and up to date.
  • Assist with payment tracking and other routine finance-related activities.

 

Executive support and coordination

  • Draft professional emails, reports, summaries, spreadsheets, and other documents for the CFO.
  • Maintain organised digital records of contracts, receipts, correspondence, financial documents, and other important files.
  • Assist with the preliminary review of contracts and banking documents, flagging key terms, deadlines, and points that need further review.
  • Prepare clear and accurate information for meetings, reviews, and internal reporting.
  • Ensure documents are properly named, filed, and easy to locate.

 

Coordination and Follow-up

  • Communicate with vendors, internal teams, consultants, and external partners on behalf of the CFO.
  • Support procurement activities, including supplier research, quotation comparisons, and vendor communication.
  • Coordinate MCA-related documentation with the Company Secretary.
  • Track outstanding actions, follow up with relevant people, and ensure deadlines are not missed.
  • Handling travel bookings, meeting arrangements, and other time-sensitive tasks

 

Research and General Administration

  • Conduct research on regulations, vendors, pricing, and other business-related topics.
  • Track insurance renewals, property-related payments, utility bills, maintenance costs, and similar expenses.
  • Assist with inventory records, process improvements, and other administrative projects.
  • Take responsibility for ad hoc assignments and see them through to completion.
  • Support the CFO with any additional tasks required as business needs change.

 

Qualifications and Skills

 

Education

  • Bachelor’s degree in accounting, Finance, Commerce, Business Administration, Law, or a related field.

 

Required Skills and Qualities

  • Strong numerical and analytical ability.
  • Good working knowledge of MS Office, Microsoft Excel, including lookups, PivotTables, filtering, formatting, and reconciliations.
  • Good knowledge of Tally and/or other accounting software’s.
  • Excellent written and spoken English.
  • Ability to draft clear, professional emails, reports, briefs, and business documents.
  • Strong organisational skills and attention to detail.
  • Ability to manage multiple priorities and work with limited supervision.
  • Good follow-up and time-management skills.
  • A practical, solutions-oriented approach to work.
  • Professional communication with vendors, consultants, and internal teams.
  • Discretion and maturity when handling confidential information.
  • Willingness to learn new systems, processes, and areas of work.

 

Not necessary but Useful:

  • Experience working in a corporate or professional environment.
  • Experience working with or supporting a CA, CFO, finance manager, or senior executive.
  • Knowledge of Tax Compliances.
  • Legal knowledge or experience with contracts, MCA, or compliance

 

Additional Information

  • This position reports directly to the CFO.
  • Information provided must be handled with the utmost confidentiality.
  • The role is office-based.
  • Occasional weekend work may be required for urgent matters.
